Roll call is held every day at 8.30am. All students in Years 7- 11 are placed in a roll call and they report to the same room every morning. Rolls are organised into year levels or specific targeted welfare initiatives, e.g. GAT, Boy’s Education, Peer Support, Girl’s Imitative. Year 12 students do not attend roll call. Erskine Park High School utilises an electronic attendance system. Rolls with identification photographs of students are printed weekly and placed in roll folders. These rolls are used by roll teachers to record a student’s absence. The procedures are as follows:
- All students who are not physically present in roll call are marked absent by the teacher.
- They place a cross in the correct box under the student’s photo to indicate that the student is absent.
- Teachers sign their rolls to indicate that they are correct.
- If a mistake is made, there is a box at the bottom of the roll for the teacher to record the correction.
It is a policy of the school that rolls are only occasionally marked by casual teachers, as determined by the Head Teacher Administration. Reserve roll call teachers are used to fill in for absent colleagues.
A daily absentee sheet, listing all student absences, is generated from the rolls. It is distributed to all staff rooms to enable teachers to check for anomalies. The absentee sheet is usually in staffrooms by recess.
An anomaly is when a student is present in the classroom but marked as absent on the daily sheet OR when a student is absent from the class and NOT on the daily sheet. All such anomalies need to be reported to the Head Teacher Administration. The former is reported by filling in the details on the back of the daily sheet and placing in the Head teacher Administration’s pigeon hole, that day. Suspected truancies are reported on a notification sheet and again passed on to the Head Teacher Administration that day.
Students on excursions or some other form of approved leave are entered onto the system by the front office. This then records the student as present. If a student does not attend a planned excursion, the teacher in charge of the excursion, communicates this information to the front office in order for records to be adjusted. This may need to occur on the following day.
